Who we are
Coach Nomin is a coaching practice based in Toronto, Ontario, Canada. When this policy says “we” it means Coach Nomin, the operator of the portal and the app. You can reach us at nomin@coachnomin.com. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
- Account details. Your name, email address and, if you give it, a phone number. Accounts are created when you join a program or when Nomin enrols you; the app itself does not create accounts.
- Program activity. Which lessons you opened and completed, your worksheet, quiz and journal answers, and files you save for offline use on your own device.
- Things you write. Community board posts and replies, and private messages between you and Nomin.
- Guided reflections. If a lesson includes a guided reflection, your answers to its questions and the reflection written for you from them. Only your first name is sent with them, never your email.
- Payments. When you buy a program, Stripe processes the payment. We receive the amount, the date, your email and a Stripe reference. We never see or store card numbers.
- Bookings. Private sessions booked through Cal.com are matched to your account by email so they show in your calendar.
- Device details. If you allow notifications, a push token that identifies your device to the notification service. If you add an event to your phone’s calendar, the app writes only that event; it never reads your calendar.
- Technical logs. Our server keeps standard request logs (IP address, browser or app version, time) for security and troubleshooting, kept for a short period.
We do not use advertising trackers, analytics SDKs or social media pixels in the portal or the app.
Why we use it
- To run your program: unlock weekly content, keep your progress, show your calendar and issue your certificate.
- To let Nomin read your worksheets, answer your messages and moderate the community.
- To send the emails and notifications you would expect: password resets, welcome emails, session reminders, new lesson and reply alerts, and replies from Nomin. You can turn notifications off in your phone settings at any time.
- To send newsletters, only if you signed up for them on coachnomin.com or bought a program. Every newsletter has an unsubscribe link.
- To keep accounts secure, prevent abuse and meet legal and accounting obligations.
Who sees it
Nomin (the coach) can see your account details, your progress, your worksheet, quiz and journal answers, guided reflections that are shared with her (each one says so before you begin), your messages with her, and everything posted on the community board. Other students in your cohort see only your name and what you choose to post on the board. Nobody else in the program can see your private answers or messages.
We share information with service providers only as needed to run the service:
- Amazon Web Services (United States): hosting, file storage, backups and email delivery.
- Stripe: payments.
- DraftPaper: runs the guided reflections in some lessons. It receives your first name and your answers, uses OpenAI to choose the next question and to write your reflection, and keeps them only to deliver it. When you delete your account we ask DraftPaper to delete them too.
- OpenAI (through DraftPaper): processes guided reflection answers to generate questions and your reflection. Under OpenAI’s API terms this data is not used to train its models.
- Cal.com: session booking.
- Expo: delivery of push notifications to your phone.
- Video and slide embeds (for example YouTube, Vimeo or Bunny Stream) load from those providers when you open a lesson that contains one. Their own privacy policies apply to that content.
We do not sell personal information, and we do not share it with advertisers. We disclose it only when the law requires it.
Where it is stored
Our servers and backups are hosted in the United States with Amazon Web Services. By using the portal or the app you understand that your information is stored and processed there, where it may be subject to local laws.
How long we keep it
Your account and program content stay for as long as you have access to a program, and for up to two years afterwards so you can come back to your materials and certificate. Payment records are kept for seven years for tax purposes. Community posts stay with the cohort unless you or Nomin delete them. Server logs are kept for up to 90 days.
Your choices and rights
- Access and correction. You can see and change your name and email in the app. Email us for a copy of the other information we hold about you.
- Deletion. You can delete your account yourself from the Account screen in the app or the portal. This removes your account, progress, answers, journal, posts and messages right away. Payment records are kept as the law requires, without your name attached.
- Notifications and calendar. Both are permissions you grant on your phone and can withdraw in its settings.
- Newsletter. Unsubscribe from any email, or ask us.
- Complaints. Write to us first. You also have the right to complain to the Office of the Privacy Commissioner of Canada.
Security
Connections are encrypted, passwords are stored hashed, files are served through private, expiring links, and only Nomin has an administrator account. No system is perfectly secure; if we learn of a breach that affects you we will tell you.
Age
Programs are for adults. The portal and the app are not directed at anyone under 18, and we do not knowingly collect information from children.
Changes
If this policy changes in a way that matters, we will tell you by email or in the app before the change takes effect. The date at the top shows the current version.
